File Management

It’s the fundamental of business: if you lose or corrupt your files, you lose your business. That’s why file management has been key ever since the dawn of computing. A business that neglects its files is sure to head for disaster.

Managing files is easy for one but for thousands? It’s a tough undertaking even for powerful businesses like Google, which store petabytes of data. How can we learn from their mistakes and from our own when it comes to data management?

Here’s a quick guide to five common file management mistakes for businesses and how to avoid them.

1. Lack Of A Centralized File

Centralizing files allows easy access from practically anywhere, enabling businesses to securely store, manage and share information. Without a proper system in place for a file management team, users end up creating multiple versions of the same documents or storing them in incorrect locations.

Furthermore, failing to use a tool to read file format such as to read CSV file in c#, could lead to data corruption, as some file readers may not be able to read the data properly.  To avoid this mistake, companies should create centralized document databases that are well-structured and regularly maintained.

They must ensure all staff are aware of their function and structure. Businesses should invest in document management software and enterprise content management systems.

2. Failure To Establish Backup And Recovery Procedures

It is essential that businesses create a comprehensive backup and recovery plan that includes:

  • regular backups
  • data replication
  • disaster recovery plan
  • physical and virtual backups
  • cloud backups
  • encrypted backups

Backing up data should be tested regularly to ensure they are restored correctly and up to date. Regular backups to multiple remote destinations can further secure data in case of a data breach or natural disaster.

3. Inadequate File Security Measures

It is important to have security measures in place to protect files from unauthorized users. Companies can use effective file encryption software to ensure that only authorized personnel have access to the files. Companies should make sure to set up strong passwords and store them in a secure location.

Encourage users to change their passwords regularly and keep backup copies of business files in safe and secure places. Businesses should consider using two-factor authentication for extra protection.

4. Failure To Implement Version Control

Version control allows multiple users to work on the same file concurrently while also tracking changes. Without version control, different versions can be developed, and it will be difficult to know which one is the correct version. To avoid this mistake, businesses should be sure to implement version control systems into their operations.

The current workflow should be identified, as well as any applications that need to be used, and an appropriate version control system should be put in place.

5. Lack of Document Retention And Deletion Policies

Without these policies, an organization’s records are vulnerable to accidental deletion or improper retention of information. To avoid this mistake, organizations should develop, document, and communicate detailed document retention and disposal policies. Ensure proper maintenance and deletion of records.

Retention and deletion policies should clearly define document types and their designated retention periods.

Avoid These File Management Mistakes for Businesses

Implementing strategies to avoid file management mistakes for businesses will protect them from data loss and security breaches. Commit to a data backup and storage strategy that allows for data recovery and access.  If you’re looking for more ways that will help you with your business, check out the Business section of our blog.
